Payment

Payment of all fees must be made in full no later than June 18, 2026 and can be made using one of the following methods:

UL Propuls - GENERAL TERMS AND CONDITIONS

1. Purpose and Identification

The website https://ectp.ul-propuls-events.com/ is edited by UL PROPULS, whose registered office is located at 34, cours Léopold – 54000 Nancy, France.

2. Scope of Application

2.1 Terminology

The Participant refers to any individual participating in their own name or on behalf of a legal entity (company, laboratory, organization, industry, etc.) at an event organized by or with the logistical support of UL PROPULS. The participant may attend conferences (in-person or virtual), participate in the scientific and social program activities, and contribute through oral or poster presentations, according to the selected scientific program.

The Exhibitor refers to any individual participating on behalf of a legal entity (company, laboratory, organization, industry, etc.) as a stakeholder at an event organized by or with the logistical support of UL PROPULS. The terms of this participation are specified in a partnership agreement. For simplicity, regardless of the type of offer selected (financial support, partnership, sponsorship, grant, exhibitor), the generic term Exhibitor will be used in these General Terms and Conditions of Sale.

The Eventrefers to any event organized by or with the logistical support of UL PROPULS. These events may take different forms: seminars, technical days, summer schools, congresses, workshops, roundtables, general assemblies, etc. An event may be held in-person, hybrid (in-person and virtual), or entirely virtual.

2.2 Scope of Application

These General Terms and Conditions of Sale apply, to the exclusion of any other provisions, to any registration of one or more Participants for an Event organized by UL PROPULS (hereinafter referred to as the “Participant”), or to any participation by an industry representative or Exhibitor as part of a partnership (hereinafter referred to as the “Exhibitor”).

1. Registering for an Event online constitutes unconditional acceptance, in full, of these General Terms and Conditions of Sale.
2. UL PROPULS reserves the right to modify these terms. Only the Terms and Conditions of Sale in force on the date of registration will apply to the relevant registration.

3. Registration

3.1 For Participants

Registration as a Participant is available by completing the online form directly on the Event website.

3.2 For Exhibitors

Registration as an Exhibitor is available by completing the online form on the Event website, or by returning the reservation form by email to the congress’s general email address or to events[@]ul-propuls.fr.

3.3 Late Registration

A registration is considered late if it occurs less than 14 calendar days before the Event for a Participant, and less than 45 calendar days before the Event for an Exhibitor. Special payment conditions apply, as described in Article 4.5.

4. Terms of Payment

4.1 For Participants

Full payment of Participant registration fees must be made to UL PROPULS, in full, with no discount. Any registration with an incomplete file or missing payment will not be processed.

4.2 For Exhibitors

Full payment of Exhibitor participation fees must be made to UL PROPULS, in full, with no discount. No participation is confirmed until full payment is received. No benefits (such as logo publication) will be provided until payment is completed.

4.3 Payment Deadline

• Participants: Payment no later than 14 calendar days before the Event
• Exhibitors: Payment no later than 45 calendar days before the Event

4.4 Payment Methods

• Purchase order
  The purchase order must mention the Event name, Participant or Exhibitor name, order or invoice reference, amount to be paid, full billing address, and VAT number (if applicable). Send to:

  Include the Event name, Participant/Exhibitor name, and order/invoice reference. Bank fees are borne by the sender. Payment must cover all fees, including recipient bank charges ("sender pays all fees").

Only one payment method per registration is allowed.
Once paid, refunds are only possible under the conditions described in Articles 9, 10, 11, and 12.

4.5 Late Registration

Payment for late registrations must be received by UL PROPULS within 7 business days following registration.

5. Registration Validation

Once the registration is completed, UL PROPULS will send a summary confirmation (the “Registration Confirmation”). The contract is considered concluded upon receipt of payment confirmation, subject to successful payment.

6. Prices

Prices are quoted per Participant and/or per Exhibitor, including all taxes (VAT). UL PROPULS reserves the right to modify prices at any time. Charges will be based on the rates in effect at the time of registration.

7. Event Program Changes

UL PROPULS reserves the right to make minor changes to the Event program (e.g., speaker unavailability, schedule changes). No refund or compensation will be granted in such cases.

8. Availability

UL PROPULS may refuse registrations if capacity limits are reached, including due to public authority regulations. This applies to both Participants and Exhibitors. If a registration is refused after payment, UL PROPULS will refund the fee according to Article 13.

9. Withdrawal Right

Participants and Exhibitors have a right of withdrawal, which can be exercised within 14 calendar days from the date of online registration, without needing to provide justification. To exercise this right, the Participant or Exhibitor must notify UL PROPULS within the legal timeframe by returning the standard withdrawal form (attached at the end of this section) to:

Upon receipt of the form, UL PROPULS will process the refund in accordance with Article 13.
If the 14-day withdrawal period has expired, cancellation is still possible but subject to the cancellation terms in Articles 10 and 13.

The registration confirmation and invoice, as well as a bank account details form (RIB), must be attached to the withdrawal request to process the refund under Article 13.      

10. Cancellation by the Participant or Exhibitor

Participant Event Registration Cancellation:

• Cancellation 45 or more calendar days prior to the event: refund less a non-refundable booking fee of €520 payable to Domaine Serge Kampf Les Fontaines as a flat indemnity.

• Cancellation from 45 to 22 calendar days prior to the event (inclusive): 50% refund of the registration fee paid.

• Cancellation less than 21 calendar days prior to the event: no refund, except for the statutory 14-day right of withdrawal..

Exhibitor Event Registration Cancellation:

• Cancellation up to 10 weeks before the event: Refund of 30% of the total order amount.
• Cancellation less than 10 weeks before the event: No refund.

Social Program or Guest Registration Cancellation (for Participants):

• Cancellation up to 15 calendar days before the event: Full refund.
• Cancellation less than 14 calendar days before the event: No refund (except within the legal 14-day withdrawal period under Article 9).

Refunds are processed according to Article 13.    

11. Cancellation or Postponement of the Event

11.1 Cancellation

If UL PROPULS is forced to cancel the Event for reasons other than force majeure or circumstances beyond its control, Participants and Exhibitors will be informed as soon as possible. Registration fees will be fully refunded, excluding any other costs (travel, accommodation, etc.), in accordance with Article 13.

11.2 Postponement

If the Event is postponed for reasons other than force majeure or circumstances beyond UL PROPULS’ control, Participants, Exhibitors, and Guests will be notified as soon as possible.
Registrations are automatically carried over to the new event date.
Participants can request cancellation, which will be handled according to Article 10.
Force Majeure: Events qualify as force majeure if they are unforeseeable, irresistible, and external (e.g., natural disasters, political events such as coups or wars, fires, etc.).

12. Force Majeure

UL PROPULS shall not be held liable, nor will any registration fees or other costs (accommodation, travel, etc.) be refunded, if the Event is cancelled or postponed due to force majeure as defined by Article 1218 of the French Civil Code and case law.

13. Refund terms

1. UL PROPULS will process partial or full refunds in line with these terms within 14 calendar days after receiving all required refund documentation.
2. If payment was made by credit card, refunds will be credited back to the same card, provided the card is still valid.
3. For other payment methods, refunds will be made by bank transfer, provided the following are supplied:

• Full bank name and contact details
• Account holder’s full name and contact details
• IBAN and Swift code, and if applicable, ABA code
• Exchange rate fees, if applicable, will be borne by the Participant/Exhibitor.

1. No refunds will be made by cheque or cash, either within France or abroad.

14. Participant and Exhibitor Obligations

Registration implies acceptance of the following:

1. Each registration is valid only for the specified Event and cannot be transferred to another Event.
2. Participants will receive a personal access badge, which must be worn throughout the Event. The badge is personal and non-transferable.
3. Participants and Exhibitors must comply with the Event’s rules and general safety guidelines. UL PROPULS reserves the right to expel anyone failing to comply

15. Intellectual Property — Image Rights

1. Presentations and distributed materials are protected by copyright (Articles L111-1 et seq. of the French Intellectual Property Code). Unauthorized reproduction, in whole or in part, is prohibited and subject to penalties under Articles L335-2 and L335-3.
2. Speakers’ statements are their own responsibility. Participants and Exhibitors must assess the relevance of opinions/recommendations. UL PROPULS disclaims responsibility for any damages resulting from information shared at the Event.
3. UL PROPULS reserves the right to mention Participants’ and Exhibitors’ names in Event promotional materials. Objections must be made in writing before the Event.
4. Registration implies consent to being photographed or filmed at the Event and to the use of these images by UL PROPULS or authorized third parties for commercial or non-commercial purposes.
5. Oral presentation speakers will be notified of video/audio recordings and will be asked to authorize the recording and its use.    

16. Confidentiality and Data Protection

1. Data collected during registration is used to manage participation and provide updates. Data remains confidential and is not shared with third parties, except for Event announcements or newsletters. Participants can unsubscribe at any time.
2. Under the French Data Protection Act (1978) and the GDPR (2016), Participants and Exhibitors have rights to access, correct, and oppose processing of their data. Requests can be sent to: events[@]ul-propuls.fr.

17. Personal Data

1. Legal Framework
   UL PROPULS processes personal data in accordance with the GDPR (Regulation EU 2016/679) and the French Data Protection Act (1978).
2. Collected Data
   Collected data may include: name, title, position, email, birth date, mailing address, phone number, dietary requirements, and company/institution details.
3. Purpose
   Data is collected for event management, scientific/technological services, and scientific event organization
4. Recipients
   Data recipients include:
   •    UL PROPULS communication department
   •    Payment provider (SystemPay by Banque Populaire)
   •    IT maintenance provider (DMConcept)
   •    Website host (OVH)
5. Retention
   Personal data is retained only for as long as necessary for business purposes. After 3 years of inactivity, UL PROPULS will seek consent to continue sending information. Without explicit consent, data will be archived.
6. Data Rights
   Participants can access, correct, delete, or object to processing of their data, or request data portability, by contacting: UL PROPULS, 34 cours Léopold - 54000 NANCY, France, or via contact[@]ul-propuls.fr.
   Complaints can be filed with the CNIL (French data authority).
7. Legal Basis
   Providing data is necessary for Event registration, personalized documents (invoices, badges, certificates), and may also be required for legal compliance.  

18. Conflicts

1. These terms are governed by French law.
2. They cancel and replace all previous terms.
3. If any provision is deemed invalid, the other provisions remain fully enforceable.
